Defines what is authoritative, public, restricted, retained and corrected.
Official record
The designated repository—not email, chat or a personal device—is the authoritative record. Required corporate registers, signed resolutions, minutes, financial records, contracts, conflicts, approvals and policy versions have named custodians and access controls.
Publication
Publish adopted governance instruments, material decisions, aggregate ballot results, financial summaries, correction notices and current leadership mandates, subject to privacy, security, privilege and legal restrictions. Drafts are visibly labelled and archived when replaced.
Correction and preservation
Never silently overwrite a material public error or final result. Preserve the prior version, date the correction, explain what changed and notify affected decision-makers. A litigation, investigation or access-request hold suspends ordinary destruction.
