01Who is responsible

This website is operated by 1001215704 ONTARIO CORPORATION under its registered business name CANADIAN DEMOCRATIC DEFENCE ASSOCIATION (CDDA), Ontario business identification number 1001215720. My Canadian Freedom is a CDDA initiative. Privacy requests can be submitted through the contact form linked below and are available to authorized national administrators. A named privacy officer and direct public privacy email have not yet been published.

02Information you provide

Membership applications collect your name, email, province or territory, optional first three postal-code characters, preferred language, selected tier and consent dates. Volunteer applications collect your name, email, region, area of interest, optional languages and experience, and consent date. Organization declarations collect the organization and representative names, administrative email, region, optional website and logo links, media type, public statement, and permission records. The contact form collects your name, email, request category, message, language, notice version and submission date. Required fields are marked on each form. Do not include identity documents, payment details, medical records or confidential legal evidence.

03Accounts and workspace records

ChatGPT sign-in supplies an email address and, when available, a name. The workspace stores account status, association and role permissions, screening milestones, assignments, sources, research contributions, review decisions, internal posts and audit records. These records support controlled collaboration and accountability. Application records are limited to national administrators; research access depends on association and role. Signing in does not itself grant research access.

04Purposes and choices

Application data is used to review eligibility, communicate about an application and administer approved participation. Contact data is used to assess and respond to the request. Public reading requires no application. The forms do not subscribe you to marketing or authorize publication of your identity. Required consent is limited to handling the submitted application or request. You may withdraw an application or ask to withdraw consent through the contact form; some participation may then be unavailable.

05Service providers and location

The site uses ChatGPT Sites hosting, ChatGPT authentication for the workspace and Cloudflare-backed application storage. Providers process information needed to deliver and secure these services and may maintain technical logs. A Canada-only processing or storage location has not been verified. Provider terms and privacy notices also apply to their services. No payment processor is connected by the application, and the site does not collect card numbers. The site code includes no advertising pixels, mailing-list integration or data-sale function.

06Sharing and publication

Application and request details are not public site content. Access is restricted to the people administering these processes. For an approved organization declaration, only the organization name, region, media type, website, logo and submitted public statement are published; the representative’s name and administrative email remain restricted. Publication requires recorded permission and administrative verification and may be withdrawn on request. Research participants must avoid unnecessary personal information in submissions; publication requires review and authorization. Information may need to be disclosed where legally required. A research submission is not automatically confidential in law or protected by solicitor-client privilege. This public contact form is not an anonymous whistleblower channel.

07Retention and safeguards

Records currently remain in the application database until an authorized person removes them; automatic expiry has not been implemented. A category-specific retention schedule still needs organizational approval. Request deletion or correction through the contact form. Any necessary retention for a legal obligation or dispute should be explained when responding. Role restrictions and sign-in protect workspace access, but no online service can guarantee absolute security. Do not submit information that would create unacceptable risk if exposed.

08Access, correction and complaints

Use the contact form to request access, correction, deletion, consent withdrawal or a privacy review. Give only enough detail to identify the relevant record. Identity may need to be verified before records are released or changed; do not send ID through this form. Where PIPEDA applies, access requests are generally subject to a 30-day response period, with permitted exceptions and extensions. You may contact the appropriate privacy regulator; using our process does not waive that right.

09Member portal and proposals

The member portal matches records to the authenticated ChatGPT email. It displays that account's application, membership status, volunteer applications and request history, and permits saving a communication-language preference. Active members can submit a proposal; its title, text, language, notice version and dates are stored with the member record. Proposals and reviewer updates are visible to the author and authorized national administrators, not other members. They are not automatically published. An account cannot change its own eligibility, standing or administrator permissions.

10Changes and limits of this notice

This notice describes the published site's operation as of the version shown. Material changes to collection or use should be disclosed before the new activity begins, with new consent where required. Publication does not certify legal compliance. Applicable federal and provincial duties depend on the activity and jurisdiction. Children should not submit personal information without appropriate adult involvement; a dedicated youth participation process is not available.
